A UK Employer’s Guide to AI-Assisted DSE Assessment Procurement
Choosing AI-assisted DSE assessment software is a governance decision as well as a software purchase.
Choose from two types of Ergonomics Assessment
Choosing AI-assisted DSE assessment software is a governance decision as well as a software purchase. A UK employer should be able to explain what the tool collects, what its outputs mean, who reviews a concern, how corrective actions are tracked and how employees can complete an assessment without sharing a workstation photo. Ergo Global’s ErgoWOW combines a chat-based self-assessment with a trained AI, an ergonomic health score, recommended actions and equipment, education resources, management reporting and referral to a virtual one-to-one ergonomist assessment when needed. The product page does not currently describe photo or video capture as part of this employee journey.
Use the questions and comparison below to test whether a provider’s actual workflow fits your workforce. AI does not transfer the employer’s responsibility to assess risks and act on findings.
Start with the assessment process, not the AI label
For Great Britain, HSE guidance says employers must assess the workstation of workers who use display screen equipment (DSE) daily, as part of their normal work, continuously for an hour or more. The assessment considers the whole workstation, the work being done and relevant individual requirements. The [Health and Safety (Display Screen Equipment) Regulations 1992] provide the statutory framework.
Northern Ireland has separate Health and Safety (Display Screen Equipment) Regulations (Northern Ireland) 1992, with guidance from HSENI. HSE is the Great Britain regulator; direct Northern Ireland readers to HSENI.
Remember
A software output is one part of the employer’s process. The organisation still needs to decide how employees raise discomfort, who checks uncertain answers, who approves equipment or workplace changes, and how outstanding actions are followed through. For home and hybrid workers, the process should reflect the locations where the person works. See Ergo Global’s UK compliance hub for the existing regulatory overview and home-worker DSE assessment page for split-location arrangements.
Different approaches, and different needs…
| Approach | Useful for | Questions to resolve |
|---|---|---|
| Paper form | A small, simple process with direct assessor follow-up. | Who reviews every form, records actions and follows up missed answers? |
| Spreadsheet | Tracking a modest team when roles and follow-up are clear. | How are access, version control, reminders and sensitive records managed? |
| Self-assessment software | Guided employee completion and central progress tracking. | Does it explain questions, route uncertainty and show which actions remain open? |
| AI-assisted assessment | Structuring employee responses and helping surface cases for review. | What exactly does AI generate? Can an employee or reviewer understand and challenge the output? |
| Ergonomist-led assessment | Individual or complex cases needing direct professional judgement. | What is the referral threshold, expected response time and report format? |
These options can work together. A digital self-assessment may handle routine information while a trained assessor or ergonomist reviews exceptions. The right choice depends on workforce size, working locations, risk profile, available internal competence and how quickly corrective action can be delivered.
Vendor questions to put in the procurement checklist…
Use these questions in a request for information or supplier demonstration. Offer them as a print-friendly procurement checklist beside this guide.
- What does an employee do from the first prompt to assessment completion? Show a live demonstration, not only a feature list.
- What does an employee do from the first prompt to assessment completion? Show a live demonstration, not only a feature list.
- What does the employee receive: a score, itemised findings, setup guidance, recommended equipment, or a downloadable report? Provide a redacted sample.
- What does the employer see in reporting? Can it distinguish completed assessments, open actions, referrals and overdue follow-up?
- Which answers or circumstances trigger a human review, and how does the case reach a named ergonomist or trained assessor?
- What are the retention period, hosting region, subprocessors, access controls and deletion process for each data type?
- Can employees ask for help, correct information or challenge an automated suggestion without losing access to the assessment?
- Can employees ask for help, correct information or challenge an automated suggestion without losing access to the assessment?
- What training, implementation support and ongoing service are included, and what remains the employer’s responsibility?
- Can the provider supply references or case examples for a comparable workforce, with permission to contact the client?
Important
Before any employee rollout, involve procurement, health and safety, HR, IT security and the data protection lead. Under UK GDPR, document the intended purpose and data flow, screen for whether a data protection impact assessment (DPIA) is required, and complete one where the processing is likely to create high risk. Images of a home workstation can be personal data and may also expose household members, family photographs, documents or other details of a private home. Tell employees what is collected, why, who can access it and how long it is retained. Provide a practical non-image route, such as structured questions followed by assessor review, where a worker does not want to upload a photo.
ErgoWOW provide
ErgoWOW is our ergonomics platform, built by ergonomists and enhanced with AI. In our published workflow, employees complete a chat-based self-assessment with trained AI and receive an ergonomic health score. If further review is needed, we refer the employee to a virtual one-to-one assessment with an ergonomist. We also recommend actions and equipment, provide educational videos, infographics and quizzes, and give managers reporting and personalised recommendations from ergonomists. Confirm that the current UK deployment has the same features before publication.
Ergo Global provide
Ergo Global’s UK DSE service page describes a joined-up service that combines guided self-assessment, employee guidance, central risk visibility and professional ergonomist support for cases requiring more detailed assessment. Request a sample output to see how the product presents a score, recommendations and referral. Do not claim a particular report format, photo-analysis feature, hosting region or retention period until the product owner confirms it.
Our DSE Assessor Course is accredited by the Chartered Institute for Ergonomics and Human Factors (CIEHF). Our Asana case study records 140 ergonomics assessments at the company’s Dublin office. These are evidence of training and service delivery; they are not evidence of AI accuracy or a UK DSE software outcome. See [DSE Assessor Course] and [Asana success story] for the scope of each example.
Common questions…
Is AI-assisted software itself a DSE assessment?
No. Software can help employees take part and help an organisation manage information, but the employer must ensure the assessment is suitable, review findings and act on risks. HSE says a trained assessor should review software or paper results and resolve doubtful points.
How often should a DSE assessment be repeated?
There is no single annual interval in the cited HSE guidance. Review when a new user or workstation is introduced, the workstation or its use changes, or a worker reports pain or discomfort. Employers can set additional review points for their own process.
Can employees refuse to submit workstation photos?
Neither HSE nor HSENI guidance says a photo is required. A photo-based process should offer a non-image route so the assessment can still consider the workstation, work and individual needs.
Where can I request a sample ErgoWOW report?
Use Ergo Global’s contact form and select or describe an ErgoWOW sample report request. Ask for the employee view and the management report, if both are available for the proposed deployment.
